Job Overview:
We are seeking a proactive and detail-oriented Administrative Assistant to provide comprehensive support to our founders. This dynamic role involves interacting with external associates and clients, and extends to social media, marketing, and business development activities. The ideal candidate will gain invaluable exposure to the planning and execution of marketing campaigns, business strategies, and client management. Adaptability and the ability to support various aspects of a fast-paced business consulting and marketing firm are essential.
Key Responsibilities:
Meeting Coordination: Schedule and organize high-level meetings for founders and account teams, ensuring all logistics are handled efficiently.
Communication Management: Draft, proofread, and disseminate professional communications with meticulous attention to detail.
Content Management: Oversee and optimize content across shared technology platforms, including Google Drive, Beehiiv, Sendible, Canva, Copper, and Calendly.
Documentation: Develop comprehensive spreadsheets and timelines to support project planning and execution.
Client Documentation: Manage the execution of client paperwork, including Non-Disclosure Agreements (NDAs), ensuring accuracy and confidentiality.
Travel and Expense Management: Coordinate travel arrangements, process expense reports, and handle general office tasks to support the founders.
Special Projects Support: Conduct research, writing, and communications to support special projects as needed.
News Monitoring: Track and report daily news relevant to Outfront and its clients to inform strategic decisions.
Award Submissions: Spearhead award submissions for campaigns and projects, ensuring all requirements are met and deadlines are adhered to.
Project Management: Oversee projects involving Outfront associates, interns, partners, and contractors, ensuring timely and successful completion.
Meeting Participation: Attend meetings to document agreements and drive follow-up actions.
Client Onboarding: Manage the onboarding process for new clients, ensuring a seamless transition and positive experience.
Requirements:
Experience: Proven experience as an administrative assistant or in a related role, with a strong understanding of administrative practices and procedures.
Technical Proficiency: Advanced proficiency in Microsoft Suite (especially Excel and Word) and Google Docs; experience with Canva, Qwilr, and Beehiiv is a plus.
Organizational Skills: Demonstrated ability to manage multiple priorities, follow through on tasks, and meet tight deadlines.
Communication Skills: Exceptional verbal and written communication abilities, with a keen eye for detail.
Professionalism: Strong business acumen and a professional demeanor, with the ability to interact effectively with clients and external associates.
Independence: Highly organized with the ability to work independently and take initiative in a fast-paced environment.
